We are currently seeking a highly motivated and experienced individual to fill the position of Finance & Operations Assistant. The ideal candidate will support the Finance and Operations team in ensuring the smooth running of financial operations, administrative duties, and overall organizational operations. This role will ensure efficient financial management, reporting, and administrative support in alignment with the organization’s mission and vision.
Job description
Finance:
- Assist in maintaining all financial records and receipts for projects and operations.
- Supporting the implementation of financial practices, including cash management, payroll, financial disbursements, ledgers, account balance management, tax remittance, tax return compilation, activity budget reviews, etc.
- Assist in implementing and managing the internal control systems in line with the organization’s finance policy.
- Assist in the preparation of financial reports and documentation for internal and external audits and implementation of recommendations as directed.
- Ensure proper filing of financial records and documentation.
- Assist in the development of the annual operating budget and financial plan for program areas.
Operations:
- Assist in implementing all administrative, internal and external communication tasks; including creating and maintaining documentation required for human resource processes.
- Managing confidential and complex documents, including employees’ data.
- Assisting in grant application where applicable.
- Resolving office-related malfunctions and responding to requests or issues promptly.
- Monitoring timesheet of staff members to ensure justifiable payroll.
- Assist in organizing and providing logistical support for programs/projects, travel and office maintenance.
- Provide administrative support to the Operations team, including document management and data entry.
- Assist in inventory management, including tracking of office supplies, equipment, and other resources.
- Assist with procurement documentation, ensuring compliance with organizational policies and procedures.
- Liaising with vendors/partners to ensure seamless transactions or collaboration.
- Perform other relevant duties as assigned by the management of OHDI
Required Skills and Qualification:
Education;
- Degree in Accounting, Finance, or Business Administration.
- Relevant certifications in finance or operations will be an advantage.
Experience;
- A minimum of 2 years relevant experience in finance, accounting, or administrative roles.
- Experience in the use of accounting software (e.g., QuickBooks, Sage, or similar).
- Familiarity with office operations, procedures, and best practices.
Skills:
- Strong organizational skills and attention to detail.
- Ability to complete multiple tasks and prioritize effectively.
- Strong interpersonal skills and a team player.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and Google apps.
- Excellent written and verbal communication skills.
